As an Intapp DealCloud solution owner, your firm relies on you to guide users through our quarterly product releases. That means you need to understand how each update will impact specific teams and workflows — and be able to clearly communicate that information to users.
We asked DealCloud solution owners from the Carlyle Group and Guggenheim Securities how they prepare their firms for quarterly product releases. They shared useful tips around understanding and adopting new product features and updates — including working with our Intapp Client Success team.
Here are their top four recommendations:
1. Stay up to date on the release schedules
Subscribe to receive notifications about release dates, key changes, software status updates, and maintenance schedules. You can also find this information online by logging into the Intapp Support portal and going to the Status page. Both the Carlyle Group and Guggenheim Securities use this schedule to build their internal release timelines.
2. Read and highlight key items within the release notes
Ahead of every quarterly release, Intapp shares detailed release notes explaining all upcoming changes. Carefully review these notes for critical information including:
- General updates that will impact every user at your firm
- Priority items that address your firm’s concerns
- Enhancements that apply to specific teams or use cases
- Changes that may impact your existing workflows
- Additional information on future product updates
3. Share the updates that matter
Product releases can impact your teams in different ways. But all users don’t necessarily need to know how an update will affect other teams — they just need to know how it will affect them individually.
For this reason, the Carlyle Group builds distilled versions of the release notes that apply to specific teams or workflows. These versions provide three to five key takeaways so users can easily determine next steps or know what to expect from the upcoming product release.
The firm also clearly communicates how the product release will benefit the firm, encouraging users to fully embrace the new features.
4. Get support from your Intapp Client Success team
Working with the Intapp Client Success team ahead of a product release is also helpful for a successful launch. If you have a Client Success Manager (CSM), you can schedule meetings to review the latest product release notes and ask questions.
To ensure your meeting is as efficient as possible, the Caryle Group recommends sending questions to your manager beforehand. This gives your CSM time to prepare answers and quickly relay the correct information during the meeting.
Like Carlyle, Guggenheim also meets with its CSM whenever a quarterly release approaches, allowing the solution owners and CSM to talk through the release notes in detail. The firm also has a weekly standup call with its CSM to keep solution owners informed and updated as much as possible.
Set your firm up for success
When it comes to preparing your firm for a new product release, clear communication is everything. You need to understand how the update will affect all teams and be able to communicate the most relevant information and benefits of each update to users.
